Overview

  • Due to specific rules that Banner has with regards to creating and updating objects, certain rules must be abided in order for data to be accepted by Banner. 

  • This article will serve as a guide to ensure that your Coursedog changes are persisted without a hitch.

Meetings

Credit Hours | Meeting Patterns & Rooms | Instructors

As a Banner school, when performing Meeting creation and Meeting updates in Coursedog, the following requirements must be satisfied.

 

Credit Hours

  • The sum of Section "Credit Hours" must not exceed the credit hours allowed for the course.  

  • Coursedog has built-in rules to prevent this situation from occurring and to alert schedulers if a mistake is made.

  • You can enable the "Credit Range Conflict" rule to ensure schedulers are alerted to these conflicts.

Deletions

"Meetings" must not be deleted if instructors are assigned to them.  If an instructor is assigned to a "Meeting" that is deleted Banner will return the following error: Cannot find record using primary or unique key for faculty assignment

To prevent this from happening, simply remove the specific meeting time assignment that you would like to delete from the instructor.

Overlapping Meeting Patterns

  • Meetings within a Section that have "Overlapping Meeting Patterns" should not be scheduled.  

  • Coursedog has built-in (“default”) rules to prevent this situation from occurring and to alert schedulers if a mistake is made.

  • You can enable the "Overlapping Meeting Patterns" rule to ensure schedulers are alerted to these conflicts.

Meeting Times

  • Schedulers need to ensure that Meeting "End Times" are always greater than Meeting "Start Times."

  • Schedulers also need to ensure that Meeting "End Times" are not the same as the "Start Times" of another meeting – there must be at least a 1 minute difference between them.

  • Coursedog has default rules to prevent this situation from occurring and to alert schedulers if a mistake is made.

 

Room Assignments

  • Schedulers need to ensure that the Room selected for a "Meeting" is the correct type, typically classrooms.   

  • You can set up your Room template to only show specific types for selection when editing Rooms.

Schedulers can then filter by these Room types when assigning Meetings to Rooms.

  • If your institution does not utilize Coursedog’s Event Scheduling product, you can configure an Integration Data Filter to only import classrooms from your SIS.

  • Rooms in Banner usually have one of three codes: C (class), O (office/other), or R (residence).

  • Only syncing Rooms with a code of "C" will prevent errors caused by schedulers being able to select Rooms coded with an invalid type when Scheduling meetings.

  • To configure an Integration Data Filter, navigate to: Integrations Hub > Field Settings > Rooms > Integration Filters.

    • Configure a filter to “Keep Only” records where Type Equals C. 

    • This will keep Rooms with a code of "C" during integration, and drop all others.

Room Conflicts

You can't assign a room that is already assigned to a section at the time selected.

Coursedog has default rules to prevent this situation from occurring and to alert schedulers if a mistake is made.

When Coursedog sends faculty assignment creation and update requests to Banner, the following Banner rules must be satisfied:

Schedulers must ensure that instructors are not added to Sections without also setting a Meeting. Using Rules you can notify Schedulers to potential issues with Sections before they become errors.

Section - Instructor - Meeting Not Set

 

Instructors for Specific Meetings

  • You must assign instructors to specific "Meetings" in order to assign the instructor in Banner. To do this, select the Instructor and choose "Set Instructor Roles & Details." If there are multiple instructors within the section they will all appear in the list.

  • To assign a particular instructor to a meeting, locate the "Instr. Meeting" field, click the drop down, and select the specific Meeting time you wish to assign to the instructor. If an instructor is not assigned to a meeting, the instructor will not be assigned in Banner. This can be enforced by configuring the "Instructor Advanced Settings" in the "Section Template" and setting "Instr. Meeting" to required.

Instructor Role

Schedulers need to ensure that instructors have a role of "Primary" or "Non-Primary" when assigned to a Section.

This can be enforced by configuring the "Instructor Advanced Settings" in the "Section Template" and ensuring only these two values will be selectable in the drop-down menu for the "Instr. Role" field:

Instructor Status

  • Schedulers are unable to assign instructors who are not "Active" within the selected Term to Sections.  If you are expecting to be able to assign a particular instructor to a Section within the Term you are scheduling, you may want to verify that the instructor's status is set to "Active" for the Term.

  • Coursedog has built-in, default rules to prevent this situation from occurring and to alert schedulers if a mistake is made.

 

One Primary Instructor

  • Schedulers need to ensure that only one instructor has the "Instr. Role" of "Primary" selected.

  • If multiple "Primary" instructors are selected for a Section Banner will return the following error when Coursedog attempts to merge the section: *ERROR* Primary instructor already defined for section.
