Overview

  • Coursedog’s Faculty Workload Management tool is built to be the single source of truth for tracking instructor workload (both teaching and non-teaching workload).

  • Coursedog’s Faculty Workload Management will replace spreadsheets, emails, and other tools used to build faculty workload formulas and will make the workload assignment, review, and tracking process less error-prone and a more proactive part of your scheduling cycle. 

  • Coursedog allows admins to create Workload Formulas – these formulas work like a spreadsheet formula in that they define a set of IF conditions and a THEN formula. The IF conditions define which sections should use the formula, and the THEN formula defines the workload value that is the output of the Workload Formula.

  • These Formulas will thereby define a workload value for every section, and Faculty Workload Management includes a Dashboard and individual Instructor Profile views to track and report on instructor workloads.

  • The Section Editing Modal in the Section Dashboard allows Schedulers to see the current workload total for an instructor and the workload total were they to be assigned the section in question, enabling more informed and proactive section assignments from the beginning of the scheduling cycle.

  • Coursedog Faculty Workload Management is designed to ensure that Coursedog serves as the single, reliable source of truth for up-to-date faculty workload data and to help schools make workload decisions a more transparent and proactive part of the scheduling process.


The Basics

  • Faculty Workload Management is its own Coursedog product, but it lives within Academic Scheduling. 

  • This means that if you have purchased Faculty Workload Management and Scheduling, everything you need lives within your Academic Scheduling module.

  • If you have purchased Scheduling but not Faculty Workload Management, you do not have access to the functionality outlined in this article.

  • If you have purchased Faculty Workload Management but not Scheduling, you will have access to all of the Faculty Workload Management functionality outlined in this article but not to most of the Scheduling functionality outlined in this article. You will be able to use Section and Instructor Templates, the Instructor tab, the Instructor Dashboard tab, and Settings > Workload Calculations.


Related Permissions

  • There are three permissions related to Faculty Workload Management: “View Dashboard”, “View Workload Formulas,” and “Edit Workload Formulas”. 

  • “Instructor Dashboard > View Dashboard” determines who can and cannot view the “Instructor Dashboard” navigation in Academic Scheduling. 

  • “Faculty Workload Management > View Workload Formulas” determines who can and cannot view the Workload Formulas built in Settings > Workload Calculations.

  • “Faculty Workload Management > Edit Workload Formulas” determines who can and cannot edit the Workload Formulas built in Settings > Workload Calculations.

How It Works

  • Each Section in your Section Dashboard is matched to a formula.

  • The Instructor(s) teaching those Sections are then given workload credit based on the formula you’ve created.

    • Faculty Workload accounts for non-teaching releases (e.g. advising, research, etc.), sums non-teaching and teaching work, and compares that sum to the expected teaching load for that instructor for that term.

  • This workload value populates the Instructor Dashboard, the Instructor Profile, and the Section Editing Modal, enabling Department Schedulers to determine if the instructor they'd like to assign to a section can pick it up based on their workload.

  • The end result is a dashboard view of all instructors and their workload for the term (screenshot 1 below), as well as a more detailed view at the individual instructor level (screenshot 2 below). These views make it easy to report on, track, predict, and have a single source of truth for faculty workload.


Getting Started

  1. Navigate to Academic Scheduling > Settings. 

  2. Ensure that you see “Workload Calculations".

  1. Navigate to Academic Scheduling > Settings > Templates > Instructor Template.

  2. Create a new card (“Workload Details” is a common name to give this card).

  3. Drag and drop the “Load Details” field from the “Prebuilt Fields” menu into this new card.

  1. This field enables the Load Details display on the Instructor Profile, which stores the workload information needed for each instructor.


Workload Formulas

Overview

  • Workload Formulas live in Academic Scheduling > Settings > Workload Calculations.

  • Click “New Formula” to begin building new formulas.

  • Before beginning to build formulas, check out this article and click the “EXPAND” toggle next to “How do ordered calculations work?” in the app.
