Overview

  • Syllabus Groups form the top layer of Syllabus Management.

  • Syllabus Groups contain one Template and any Forms built from that Template.

  • Most often, one Syllabus Group will be created for one Academic Year.

  • Each Syllabus Group will contain one template with the latest version of institutional policies and with that year’s default syllabus layout and information. From there, each department or institutional unit will create its form from the template using the latest institutional policies.

Creating a Syllabus Group from Scratch

Step 1: Navigate to Syllabus > Syllabus Groups.

Step 2: Click “+ Add New Group.

Step 3:  Assign the group a name (required) and description (optional).

Step 4: Click “Add New Group”.

Creating a Syllabus Group from an Existing Syllabus Group

Step 1: Navigate to Syllabus > Syllabus Groups.

Step 2: Locate the Syllabus Group you wish to clone and click “Clone”.

Step 3:

  • Select the items you wish to clone.

  • A clone will always copy the template (this cannot be deselected).

  • A user with the “Copy Document Types” permission can also elect to clone the associated forms (including its workflow and permission settings).

Step 4: Click “Clone Syllabus Group”.

Step 5:

  • The clone will appear in your Syllabus Groups repository with the title “Copy of [Syllabus Group Name]”.

  • You can use the gear icon in the upper right corner of the group to rename.

Making a New Syllabus Group vs. Cloning

  • If you aren’t sure which route to choose, note that clones are the way to go if you’re looking to establish and maintain the Syllabi Hierarchy.

  • For example, you can set institutional fields on the institutional syllabus, and then clone into the College of Arts and Sciences and the College of Engineering syllabi templates.

  • From there, you can update the College of Arts and Sciences and then clone into the English Department, Physics Department, and Philosophy Department for further control.

Editing & Deleting a Syllabus Group

How to Do It

Step 1: To edit or delete a Syllabus Group, open the Syllabus Groups tab and click the Settings option on the Syllabus Group.

Step 2:

  • Step 1 will open the Update Group modal. Access to this modal is controlled by RBAC, but if you have permission to rename the Syllabus Group, change its Description, or Delete the Syllabus Group, you can do so here.

  • To edit the Syllabus Groups name or description, update the information and click “update group”. ‘

  • To delete the Syllabus Group and its template, click the “Delete” icon and then hit “yes” on the confirmation modal.

Additional Notes

  • Every Syllabus Group has a Template by default, so deleting a Syllabus Group will delete its Template. However, forms will remain in the forms list but with “Document Deleted” in red next to it.

  • To restart with a blank Template, delete a Syllabus Group and create a new one, or delete all of the cards within a Template and begin with a blank Template.
