Overview

  • Proposed syllabi go through workflows. These workflows provide a chance for any number of users to review a syllabus proposal. Alternatively, a workflow can be set up to take a syllabus directly from proposal to approval with no review whatsoever.

  • Users who have a role in the workflow can review the proposed syllabus. Other users with the required RBAC can view syllabi that are in a workflow.

  • The Proposals Dashboard is the best starting point for reviewing proposed syllabi.

Document Type

Use the “Document Type” dropdown at the top of the page to filter proposals based on the Template selected.


User Relationship to Requests

Overview | Vote Required | Assigned To Me
Created By Me | All Requests | Archived Requests

Overview

The Proposals Dashboard consists of five main tabs that indicate the user’s relationship to the request(s): Vote Required, Assigned to Me, Created By Me, All Requests, and Archived Requests.


Vote Required

This includes any proposals that require your review and vote


Assigned To Me

This includes any proposals that are in a step to which you are assigned, meaning they need your review.


Created By Me

Any proposals you have created.


All Requests

All syllabus proposals, regardless of status, author, or your part in the review process


Archived Requests

Proposals that are no longer active and have been archived


Columns

  • The default column view indicates the syllabus name (the form it uses will be under the syllabus name), the proposal type, its current workflow step, and the status of the request.

  • You can add more columns by clicking the “columns” dropdown and checking the box next to any columns you would like to add. 

  • You can reorder columns by dragging and dropping them into your preferred order within the dropdown. 


Additional Page View Options

Filter,” “Sort By” and Search options in the upper right also allow users to narrow the results and slice proposal data into different views.


Reviewing Proposals

Opening a Proposal

  • To review a syllabus proposal, simply click on the proposal to open it.

  • Opening a proposal will reveal its details (left-hand side) as well as its “Request Toolbox” (right-hand side). 


Request Toolbox

Overview | Decision | Workflow | Activity

Overview

The Request Toolbox on the right-hand side includes a “Decision” tab, a “Workflow” tab and an “Activity” tab.

Decision

  • The “Decision” tab shows the options available to this user based on their role in the workflow.

  • Some users will be able to approve and reject a proposal, while others will have no actions here and will only be able to view the proposal.

  • If a user has actions available in the Decision tab, they can select an action, leave a comment, and see confirmation of their decision. 



Workflow

  • The “Workflow” tab shows the proposal’s current, previous, and upcoming Workflow steps.

  • This can be a useful view for sharing with accreditors to confirm the steps that a proposal took between creation and publication.

Activity

  • The Activity tab shows all updates and actions that have taken place on the Workflow, and also allows a user to leave a comment.

  • This is a useful view to track the revision history of a workflow or to share with accreditors to confirm that a proposal was reviewed in the required manner.


Editing, Deleting & Archiving Proposals

  • Whether or not a user can edit, delete, or archive a proposal will depend on the permissions granted to them by an Admin. 

  • If permissions allow, a user could see any combination of these options in the right hand corner of the Request Toolbox.

  • To access the Request Toolbox, simply open the proposal you wish to edit, delete, or archive.
