This article captures some common scenarios that could impact Syllabus workflows – and outlines what that means for admins.
Workflow Participant Leaves Your Institution
If a user leaves the institution, You should either remove or inactivate their user profile. See "Setting Up Users" for guidance around both options.
Deleting the user will automatically remove the user from any workflows.
Inactivating a user will require you still remove them from workflows.
Either way, you will still need to replace the user in workflows.
To replace that user with another user, admins will need to manually add that new user to the workflow at each step in which they need to be involved.
How Workflow Changes Impact Syllabus Proposals
When a workflow is edited, there might be active syllabus proposals that utilize that workflow.
Users have two options for how to handle Syllabus proposals impacted by the updated workflow:
Apply those workflow edits to “in-flight” (active) proposals by clicking the “Update workflows for in-flight proposals” button after changing the workflow.
Do not apply those workflow edits to “in-flight” (active) proposals by saving changes to your workflow WITHOUT hitting the “update workflows for in-flight proposals” button. New proposals that enter this workflow will use the updated workflow, but in-flight proposals will use the pre-edit workflow.
