Overview

  • You can submit two types of requests with Faculty Workload Management: Instructor Change Request and Instructor Workload Approval.

    • Instructor Change Request

      • Request, review, and approve changes to individual line items within an Instructor’s Workload for a given term.

      • For example, a user who does not have permission to directly edit an instructor’s workload can request the

    • Instructor Workload Approval

      • Create an approval request for an instructor’s full workload for a given term.

      • Think of this as a replacement for email chains or department meeting approvals of an instructor’s workload for the term.

      • The full list of the instructor’s workload for the term, including all Non-Teaching Releases and Teaching Workload, will be sent through a workflow so that the instructor, department chair, dean, and/or any other involved approvers can sign off on the instructor’s workload.

  • When you submit a Faculty Workload Management (FWM) request, it goes through the designated approval workflow.


Creating an Instructor Change Request

  1. Navigate to the Instructor Dashboard and select the relevant Instructor. 

  2. Ensure that you are making the request for the desired Term.


  1. Click “Request Changes”. This will open a new New Request > Instructor Change page. 

  1. Submit a reason for making this request so that any users involved in the workflow understand the reason for the edits.


  1. Make any edits directly in the Instructor Change page – you can make multiple changes at once or submit individual requests for each change.

  2. Once you have completed the changes you would like to make, click “Submit Request”.

    1. You will be taken to the Request view, where you will see a summary of the changes you have made.

    2. The previous details will be displayed in red, and your requested changes will be displayed in green.

  1. From this point, the request can be reviewed, edited, and approved via the Workflow like any other Request. 

  2. Once it is approved, the edits will be reflected on the Instructor Profile and in the Instructor Dashboard.


Creating an Instructor Workload Approval Request

  • These can be created in bulk or individually. 

  • Instructors for both paths are included below.


Creating Bulk Instructor Workload Approval Requests

Overview

  • Instructor Workload Approval Requests can be created in bulk for a given Term.

  • This is helpful if, for example, the term begins in three weeks and it is time for Department Chairs and Deans to review and sign off on their instructors’ workload for the term. Rather than creating individual requests, you can trigger these requests in bulk.


How to Do It

  1. Navigate to the Instructor Dashboard.

  2. Apply the filters you would like to use to determine which Instructors you want to create these requests for. Once completed, your Dashboard list will contain only the Instructors meeting the filter criteria.

    1. Filter by Type to trigger requests for only Adjuncts or Part-Time faculty.

    2. Filter by Status to ensure only active Instructors have requests created.


  1. Click “Request Workload Approvals”. You will then see a screen confirming the Term and filters you have selected. 


  1. Click “Request Approvals”. 

    1. A green box indicating that your filter(s) has been applied will appear where the “Filter” button was, again confirming that you have created and applied your filters.

    2. This action triggers Instructor Workload Approval Requests for all Instructors included in your filter.

Individual Instructor Workload Approval Requests

Overview

Requests to approve Instructor Workload can be created individually for Instructors.


How to Create Individual Instructor Workload Approval Requests

  • Navigate to the Instructor Dashboard.

  • Select the Term you’d like to submit the request for. 

  • Select the instructor. 

  • Review their workload details to confirm the details are correct before proceeding.

  • Click “Request Approval”.

    1. Note the “Workload is not approved” tag next to Request Approval. 

    2. The “Workload is not approved” tag will appear on the term workload for any instructor in any term for which workload approval has not been requested and approved.

    3. On workflow approval for the request, this tag will be updated to reflect the date and time at which the request was approved. More detail on that later in this section.

Monitoring Requests

  • Once “Request Approval” is clicked, the request can be found at Academic Scheduling > Requests.

  • Use the "Created by Me” tab to locate your recently created requests.


  • Open the request in order to see any available actions.

    • Note that the request cannot be edited.

    • No items on the Instructor Workload for the term are being edited, and the purpose of the request is only to review the current Workload for the Term and approve or reject it, so individual line item edits must be made via Instructor Change Requests.

  • When the request is approved, the “Workload is not approved” tag will be replaced by a digital signature and a confirmation that the request has been approved. 

  1. When you view that Instructor’s Profile for that same term, their updated Instructor Workload Approval status will be reflected on their profile as well.

  1. If an update is made to their workload for that Term (this could include being assigned to a new section, a new Non-teaching workload item being added, or their expected load being updated), the approval will revert to the “Workload is not approved” tag. 

    1. Any change to an Instructor’s workload for that term means that the approval is no longer valid, as the approval was for a workload that is now outdated. 

    2. A new Instructor Workload Approval request can be created to re-approve their workload
