Overview

  • You don’t need to switch back and forth between a merge report, a section, and your SIS when troubleshooting a merge error or confirming data consistency. With our Section SIS Sync Tool, you can see differences between Coursedog and SIS data right in your sections – and have full confidence in the data integrity of your sections.

  • This powerful tool allows you to see which integrated fields in the section are out of alignment with the SIS. All you need to do is decide on the correct value, update it in Coursedog or in your SIS, and see the difference go away when you press “Refresh Comparison Data” to make sure your section is now in sync.



Related Permissions

Only users with the “Course Editor > View Section Integration Status” permission set to “Allow” will see the “SIS Sync” tab and related indicators. 


Out of Sync

Overview | Out of Sync Information for Complex Fields | Potential Cause | Potential Solution

Overview

When a field is not in sync between Coursedog and the SIS, two things happen:

  • It is shown in the SIS Sync Tab, with both Coursedog and SIS values displayed. If you click on it, it will scroll down to that field on the section.

  • An orange indicator appears next to it on the section. If you hover over it, it will show the value in the SIS.


Out of Sync Information for Complex Fields

For complex fields, such as Meeting Patterns & Rooms, you will see which line it is referring to (starting at 0), and which item within that line. In the image below, you can see that it is referring to the end time of the first meeting pattern.

Potential Cause

There are a few reasons why a field might have different values in Coursedog and in the SIS:

  • You recently updated it in Coursedog, and the change hasn’t been pushed back to the SIS yet.

  • You recently updated it in your SIS, and the change hasn’t been merged into Coursedog yet.

  • A merge error was encountered that prevented the field’s values from being reconciled.


Potential Solution

Based on the situation, you can either wait for the merge to happen, or correct the value, update it in the appropriate system, and click "Refresh Comparison Data" to confirm they're now in sync.


Refresh Comparison Data Button

  • The “Refresh Comparison Data” button retrieves the latest data from the SIS for this section’s integrated fields.

  • Click the button to update/refresh the list of out-of-sync fields.


Excluded Fields

Differences in values for the following fields may not be reflected in the SIS Sync tab:

  • Relationships

  • Fields with a merge setting set to “Always Coursedog” or “Always Institution”

  • Fields that we do not post back to the SIS


This Field Does Not Exist

  • If a field is integrated but is not shown on the section in Coursedog (i.e. not included in the section template), and its value differs between the two systems, it will be shown in the SIS Sync tab with a callout that reads: “This field does not exist in the section template”. 

  • Since you cannot see this field on the section, we recommend that you reach out to your admin if it persists so they may look into the difference.

Additional Notes

  • When you open a section or click “Refresh Comparison Data”, we make a call to the SIS to retrieve the latest section information.

    • If the call doesn’t succeed in 30 seconds, we will try to fetch the latest section data we’ve fetched from your SIS, likely from the last nightly merge.

    • If both calls fail, you will see the message: “Cannot retrieve section from the SIS”. This can be an indication that your SIS is not accessible at the moment. If the issue persists, we recommend that you file a support ticket.
