Once you have configured your sections and gathered preferences, it is time to start finalizing sections by assigning instructors, meeting patterns, and rooms. You can do this in different orders, but one plus to starting with instructors is that you can then use the preferences for that instructor to drive the meeting pattern and room assignments. 

Assigning Instructors to Sections

PATH: Academic Scheduling > Section Editor > (Select Course) > (Select Section)

Step 1:

  • Open the Section Editor for the class you want to assign an instructor to.

  • You can access the Section Editor by clicking anywhere on the section row.

Step 2: Navigate to the “Instructors” card and select “+ Instructor”.

  • As an alternative to Steps 1-2 above, you can simply click the empty (“not set”) instructors field (shown below).

  • Either method will open the instructor modal where we can select the instructor best suited for your section. 

Step 3: 

  • Look through the listed instructors in the instructor modal to find the best fit.

  • Coursedog automatically sorts instructors by their preference fit, allowing you to quickly see which instructors align most with the section. By hovering your mouse over the “i”, you can see the preference conflicts of each instructor (provided you have gathered faculty preferences)

  • A conflict will also be shown when attempting to assign an instructor whose approved courses don’t match up with the parent course of the section they are being assigned to.

  • When searching through instructors, the system will evaluate the search query against the following fields: Instructor First Name, Instructor Last Name, and Instructor ID.

Inactive Instructors

  • Instructors that are inactive for the term will not be available for assignment for sections.

  • An inactive instructor is one who has an "Inactive" status, or whose effective dates do not cover the date range of the section. 

Department Instructors vs. All Instructors

  • Instructors are intended to have associations with specific departments and can be associated with multiple departments at once.

  • By default, only instructors associated with the course's Department will be shown (blue knob in the top left).

  • If you want to search through the inventory of all instructors, you can click on the “All Instructors” knob.

Instructor Type

Each instructor has an “Instructor Type” used to differentiate between Faculty, Lecturers, Adjuncts, Teaching Assistants, or other institution-defined criteria that can be used to filter the instructor list. If the “instructor type” is not set, this field will default to “Not Set”. 

Step Four: Click the name of the instructor you wish to assign to the section. 

Ignoring Double Bookings

PATH: Academic Scheduling > Section Editor > (Select Course) > (Select Section)


If settings allow, you can ignore all instructor double booking conflicts for a specific instructor for all meetings the instructor is assigned to.

How To Do It

  1. Scroll down to the “instructor card” in the Section Editor (located at the above path).

  2. Click on “Set Instructor Roles & Details”.

  3. Click on the instructor’s name.

  4. Select “YES” under “Ignore Double Bookings.

Setting Visibility

If you don’t see “Ignore Double Bookings” on the “Set Instructor Roles & Details” modal, that means it has not been made visible. 

Additional Notes

  • You can add multiple instructors by selecting the “+ Instructor” button in the section editor or by clicking on the assigned instructor’s name to cause the “+ Instructor” button to appear. 

  • Along with "ignore double bookings" mentioned above, you can set additional “instructor roles & details” within the Instructors card in the section editor.
