7. Validating and Submitting a Schedule

7.1 Overview

When all of your sections have been configured to your liking, it is time to submit. Before you submit, however, you may want to do one final schedule validation to see any conflicts or warnings that may need to be ironed out. In this module, you will learn how to take the final steps to validate and submit your completed department schedule. 

7.2 Validating the Schedule

With the click of a button, you can quickly validate your schedule by seeing any warnings, errors or conflicts that arise in your schedule. Go to Home on the left navigation, select your department, and then select ‘Validate Schedule.’

A modal containing every conflict will appear, broken up into three categories: Section Rules, Meeting Pattern Rules, and Preferences.

Section Rules show any conflicts caused by the configuration of specific sections. As seen in the example, this will show you if there is a double booked instructor or if a room is too small to hold the section at max enrollment. These tend to be the most significant conflicts so you will definitely want to resolve these before submitting your schedule.

Meeting Pattern Rules show whether your distribution of meeting patterns is in compliance with your institution’s rules. In this example, we have too many sections scheduled during prime time hours, so we may want to go back and change some of these section times.

Preference conflicts arise whenever an assignment is made that is not in line with the preferences of the instructor or of the section. You will want to make sure none of these conflicts will cause the schedule to be invalid. For example, it may be okay to leave an instructor assigned to a course that is not their preference, but you would probably not want to assign an instructor to a section scheduled at a time they cannot teach.

7.3 Submitting the Schedule

Once you have validated your schedule and wish to submit, click ‘Submit Schedule’ at the top of your section editor.

You will be taken to the schedule submission page, which may look similar to the validation page as you will see any conflicts that need to be resolved for submission. 

This shows the importance of the validation step, as I am unable to submit my schedule because of some of the conflicts I failed to fix during that step. You will notice, though, that some conflicts can be bypassed via exception request. 

This allows you to submit a request if for some reason you need to submit a schedule that violates that rule.

After all the conflicts have been resolved, you can submit your finalized department schedule. Submitting the schedule will alert administrators by updating the Departmental status on the Home page. Note that there are no automatic notifications associated to submitting the schedule.

Click “Submit Schedule” and give yourself a pat on the back! 

Note: You may also click the 'Revert To In Progress' button that allows you to "un-submit" your schedule. This simply serves as a visual indicator for approvers that the schedule has not been finalized, and does not have any impact on the SIS integration or Registrar's Office approvals.
