WORKFLOWS: Assigning Workflows to Different Request Types

Overview

  • In Academic Scheduling there are four types of requests that can be put through a workflow: Section Change, Rule Exception, Schedule Validation, and Preference Form.

  • Once you’ve created workflows, you can assign them to different request types. 


Section Change Requests

Overview

Section changes include adding, editing, or deleting sections. 


How to Assign a Workflow to Section Changes

  1. Navigate to Academic Scheduling > Settings > Requests. 

  2. Select the desired workflow from the dropdown menu. 


Rule Exception Requests

Overview

  • Every rule can be assigned a workflow.

  • You can create/assign different workflows to different rules. 

  • Learn more about Setting Up Section Rules.


How to Assign a Workflow to a Rule Exception Request

  1. Navigate to Academic Scheduling > Rules > Section Rules.

  2. Click the rule(s) to which you’d like to assign a workflow.

  3. Under “On Failure”, select the workflow you’d like to assign to this rule. 

  4. Click “Save Rule”. 



Schedule Validation Request

Overview

  • Schedule Validation workflows are assigned at the department level.

  • You can create/assign different workflows to different departments. 

  • You can also create/assign a workflow that essentially auto-approves submissions, if preferred.

How to Assign a Schedule Validation Workflow to a Department

  1. Navigate to Academic Scheduling > Settings > Departments. 

  2. Click into the Department you wish to assign a Schedule Validation workflow to. 

  3. Select the desired workflow from the “Department Validation Workflow” dropdown. 


Internal Preference Forms

Overview

  • Only Internal Preference Forms go through an approval workflow.

  • External Preference Forms DO NOT go through an approval workflow. 

  • Each Internal Preference Form can have a unique workflow.

How to Assign a Workflow to Internal Preference Forms

When Creating a New Preference Form

  • Select a workflow from the “Workflow” dropdown. 

  • This will be the preference form’s assigned workflow unless/until you change it later. 


When Editing an Existing Preference Form

You can update an Internal Preference Form’s workflow at any time via the “Approval Workflow” dropdown menu at Scheduling > Preference Forms > Internal Forms > (Select Form).
