Overview

  • The Room Template is essentially the same as the Section Template, except it has different pre-built fields and no fixed auto-generated cards. 

  • This article captures details that are unique to the Room Template. 

  • To learn more about field options that apply to all templates, go here.

Key Details

  • In the Room Template, a room can be hidden in Scheduling and/or Events. 

  • If “Hide In Scheduling” is “Yes”, then the user will not be able to select the room when assigning rooms in scheduling.

    • If “Hide In Scheduling” is set to “Yes”, and the user wants to exclude the room from the optimizer, they will still have to select “Exclude From Optimizer” as “Yes”.

  • If “Hide In Events” is “Yes”, then the user will not be able to select the room when assigning rooms in events.

Room Features

  • Add Room Features to your template to help Department Schedulers and the Section Optimizer determine which room(s) will meet a section’s needs.

  • Room features are specific characteristics or equipment that a room may have, such as a projector, whiteboard, or microphone. 


Room Attributes

  • The Room Attributes field can be used to support further customization. 

  • Room attributes are more like descriptive tags that provide extra details about a room. These might include information about the room's location, type, or specific departmental affiliations. 

  • When unlocking rooms, you can release different rooms at different times depending on their assigned attributes. 

Allowed Sections

  • If you’d like to restrict a room’s availability to only a particular department or type of section, you will want to add the Allowed Sections field to your Room Template.  

  • If the Allowed Sections field is on your template, we recommend it be on its own card, especially if you are leveraging “Extended Description”. This will prevent potential display issues.

Departments

Adding a department to the “Department” field will not restrict the room to a particular department, and instead is used with the Room Release functionality.


Exclude from Optimizer

Add this field to your template if you’d like to allow Schedulers to exclude rooms from the Section Optimizer. 


Online Space

Add this field to your template to allow rooms to be designated as an online space. 


Hide in Scheduling/Events

  • Add this field to your template to give end users the ability to block rooms from appearing in Scheduling and/or Events. 

  • For example, if you’re an Event Scheduling customer and there are some rooms that shouldn’t be available to Events, you will want this field on your template to control the room’s availability. 


Effective Start Date & Effective End Date

“Effective Start Date” and “Effective End Date” define when the room will show up in results (i.e. if a section takes place outside of these dates, the room will be unable to be selected / assigned to the section and its meeting patterns).


Room Fixed Cost, Room Hourly Cost & Owners

These fields have no impact in Academic Scheduling and are only applicable to Events customers.
