Overview

  • The Course and Program Templates can both accommodate multiple levels of department and college ownership, as shown below.

  • The additional departmentOwnership questions can be linked to a corresponding “source question”.

How to Do It

To accomplish this, you add the “Department Select” and “Department Percent Ownership” prebuilt fields as well as the “Department Select” and “Department Ownership” custom fields to your template.


Step 1:

  • To add multiple levels of ownership to the Course Template, navigate to Curriculum > Settings > Course Template.

  • To add multiple levels of ownership to the Program Template, navigate to Curriculum > Settings > Program Template.


Step 2: 

  • Check your template to ensure the “Department Select” (question ID = departments) and “Department Percent Ownership” (question ID = departmentOwnership) pre-built fields have been added to your template. 

  • If they haven’t been added, click “Course/Program Template Fields” under “Question Bank” and then drag and drop each field onto the template. 


Step 3: 

  • Add additional Department Ownership and Department Select questions by adding the “Department Percent Ownership” and “Department Select” custom fields (Question Bank > Custom Fields). 

  • For every “Department Percent Ownership” custom field you add, you should also add a corresponding “Department Select” custom field.

Step 4: Click into the “Department Ownership” custom question to edit its settings.


Step 5: 

  • Ensure each “Department Percent Ownership” question points to its corresponding “Department Select” field. 

  • In order to do that, click into each “Department Ownership” field to edit its Questions Settings and select the corresponding “Department Select” field from the “Mapped Select Question” dropdown.

End User Experience

  • The below screenshot shows how multiple department ownership will appear to end users looking at an applicable course or program. 

  • Even though the below example indicates departments are sharing ownership 100%, this can be adjusted by users who can edit the course or program (e.g. 50/50, 60/40, etc.). 

Workflows

  • The dynamic “department” steps in workflows will pull from the prebuilt “department select” question only. 

  • In other words: workflows do not depend on the additional department questions added through custom questions.
