Overview

  • There are several pages in the Events platform where you can “save your view”.

  • What this essentially means is any filters you apply to a page to change your “view” can be saved, so you don’t have to apply those filters every time you visit the page.

  • This “saved views” feature is available in the following pages: Events, Rooms, Resources, Organizations, and Buildings.

  • The Events page additionally gives you the ability to add columns to the dashboard view. 

  • You can run reports based on the Events Dashboard (Event Scheduling > Events > Dashboard) saved views; learn how that works here.

Use Case

  • Some users only view specific events or rooms. For example, the head of the Arts department may only be interested in events put on by the departments of Arts & Art History. In order to avoid having to apply the same filters each time you enter the events or rooms tabs, you can save and access “saved views”.

  • Some users manage a lot of rooms and need different views for different resources/event types/buildings.

Creating a View

Overview

  • Creating a view can include a combination of adding columns to the dashboard; selecting whether or not to “Show academic events”; and applying a variety of filter options. 

  • Although you can define a start date and end date, note that these will not be saved as part of your Saved View, as the timeframe you’re searching for will likely change from week to week or month to month. 

Using Custom Columns in the Events Dashboard

PATH: Event Scheduling > Events > Dashboard > “Columns” Select

Overview

  • The “Columns” dropdown select allows users to choose which columns are displayed in the Dashboard view.

  • This select supports “Predefined”/prebuilt fields and custom Event Form fields, any of which can be selected and displayed.

  • When a field is selected, it will be moved to the top of the dropdown menu and displayed in the current view.

  • Once selected, you can drag and drop columns to change the displayed order. 

Applying Filters

  • When you click “Filters”, a “Filter Events” modal will pop up. 

  • Click “+Add Filter” to define the event parameters you’d like to search for.  

Exporting Data from a Custom View

The “Export Results” button will generate a CSV of the current view, including the applied filters, dates, toggles, and custom columns.

How To Save a View

There are two ways to save a view: while creating the filter or at any point after a filter has been applied. 

While Creating Filter

STEP 1: Select “Filter”.

STEP 2: 

  • Select “+ Add Filter” to define the filters you wish to apply to this page view.

  • You can add multiple filters.


STEP 3: Once the filter(s) have been set, click “Save As” in the bottom left.


STEP 4: Input a name for your filter and click “Save”.


After Saving Filter

STEP 1: Once you have added filter(s) to any of the applicable pages, click “Saved Views” in the upper right-hand corner. 

STEP 2: Select “Save Current View”.


STEP 3: Input a name for the view you wish to save and then click “Save”.


Accessing Saved Views

You can access your saved views in two places: 

  1. All Saved Views are accessible by clicking “Saved Views” on the page where you created them.

  2. Saved Views are also accessible from the Events homepage under the “Saved Views” header on the right-hand side of the screen.

Show Academic Events by Default

Overview

If you are also an Academic Scheduling customer, you can use saved views to display Academic Events by default in the Events tab.

How to Do It

STEP 1: Save a view on the Events tab where “Show Academic Events” is checked (i.e. Set to “True”). 


STEP 2: Click on the profile icon in the upper right corner of your screen.

STEP 3: Select “Account Settings”.

STEP 4: Under Default Views > Events, select the saved view that you’d like to set as your default.
