Overview

  • Coursedog offers a range of out-of-box downloadable reports to help review Events data. 

  • To access them, select the reports tab on the left navigation and choose from the three tabs included there: Saved Views, PDF Reports, and CSV Reports.

  • Each tab includes its own set of filters, date selects, and toggles that will apply to that specific tab; click “show filters” within that tab to show available filter options. 

  • Coursedog also offers Report Subscriptions that allow admins to automatically send reports to any user on a set cadence.


Saved View Reports

Overview

If you’ve saved an Events Dashboard view in Events, that view can be used to generate a .csv report. 


Use Case

  • Custom reporting is built to support the reporting needs of event teams, facilities managers, and events/facilities team members.

  • Events and facilities managers can generate saved views that are limited to the specific resources, rooms, or event types that they or their team own. They can also choose which columns to display in that view to create an at-a-glance view of all the data they need.

  • They can also create a report using those filters and columns for any date range, and share that report with the team or individual to enable their work without requiring them to access Coursedog frequently or at all.

  • This functionality also supports detailed reporting on any cross-section of events, from specific event types to attendance to room usage, across any period of time. This is a useful tool for events and facilities admins to analyze and report on space and resource usage, share data with other teams, and generate quarterly, semesterly, or annual reports.

 

How to Do It

Step 1: Create a Saved View as outlined here.

 

Step 2: Navigate to Events > Reports. 


Step 3: 

  • Click “Show Filters” to see available filter options. 

  • Saved View Reports include only start and end date filters – the advanced filters and toggles applied when a Saved View is created will carry over to the Reports tab.


Step 4: Set the desired “Start date” and “End date” for the report.


Step 5: Under “Saved Views Reports,” click “Download” for the desired Saved View.

Private Events

  • Events where the prebuilt “Private Event” select = “Yes” will have much of their data hidden on CSV exports to respect the “Private Event” selection. 

  • Those events will only display the following data in the exported CSV: Date & Time, Event Name, Location, Meeting End Date, Meeting End Time, Meeting Start Date, Meeting Start Time, Meeting Type, Private Event, and Public Event.

Filters | Event Setup & Teardown Report (PDF) | Contact address (if added to the event request form)
Events List Report (CSV) | Resources List Report (CSV or PDF) | Event Conflicts Report (CSV or PDF)
Daily Facilities Report (PDF)

Filters

  • Click "Filters" to specify the date range for your report (Start Date-End Date) as well as whether or not to include academic events and hidden events in your report.

  • You can also define advanced filters (e.g. Event Name, Event Type, etc.).



Event Setup & Teardown Report (PDF)

The event setup & teardown report downloads a file containing the following information for each event meeting with an associated setup and or teardown window within the range of dates specified at the top of the page:

  • Event ID

  • Name

  • Organization

  • Expected Headcount

  • Start Date

  • Start Time

  • End Date

  • End Time

  • Building Name

  • Room Number

  • Room Name

  • Room Layout 

  • Setup Times

  • Teardown Times

  • Notes

  • Resources

  • Contacts - Names of people in charge of the event

  • Contact email

  • Contact phone

Contact address (if added to the event request form)


Events List Report (CSV)

The events list report downloads a CSV file containing the following information for each event scheduled in the range of dates specified at the top of the page:

  • Event Name

  • Event Description

  • Event Status

  • Notes

  • Organization - The name of the organization that is hosting the event

  • Event Type

  • Start Date

  • Start Time

  • End Date

  • End Time

  • Location

  • Is Set up - indicates whether or not the event will require set up

  • Is Teardown - indicates whether or not the event will require teardown

  • Contacts - Names of people in charge of the event

  • Contact Phone

  • Contact Email


Resources List Report (CSV or PDF)

The resources list report downloads a file containing the following information for each event scheduled in the range of dates specified at the top of the page:

  • Resource Name

  • Event Name

  • Organization

  • Quantity

  • Notes

  • Start Date

  • Start Time

  • End Date

  • End Time

  • Location


Event Conflicts Report (CSV or PDF)

The event conflicts list report downloads a file containing the following information for each conflict in the range of dates specified at the top of the page:

  • Conflict Type

  • Event Name

  • Conflicting Event Name

  • Start Date

  • Conflicting Event Start Date

  • Event ID

  • Conflicting Event ID


Daily Facilities Report (PDF)

The Daily Facilities Report report downloads a file containing the following information for each Event in the range of dates specified at the top of the page:

  • Setup end time

  • Setup start time

  • Teardown end time

  • Teardown start time

  • Room Name

  • Building 

  • Event Notes

  • Layout

  • Event End Time

  • Event Start Time

  • Event Name

  • Organization

  • Expected Attendance

  • Resource Name

  • Resource Quantity

  • Resource Notes

  • Contact Name

  • Contact Email

  • Contact Phone

  • Scheduler Name

  • Scheduler Email

  • Scheduler Phone
