Overview

If your role permissions set by your institution allow, you may be able to edit – and/or request changes – to an event that has already been approved.

Finding Events in the UI

  1. In order to either edit an event or request changes, click “Events” in the left-hand navigation.

  2. Select  the event you wish to edit.

  3. Your allowed actions are specified under “Actions” in the right hand side and depend on the Role permissions set by your institution.

Edit Event

Click on “Edit Event” on the top right and you will see at the top of the screen a banner will show that you are in edit mode. You will now be able to change any field in the event’s form. When you are finished (remember to fill out all required fields) you can click “Save Changes” to publish your edited event. This will update your public facing events site in real time.

Overview

  1. If permissions allow, you can also edit an event’s “Event Type”.

  2. The event type defines the custom fields associated with an event via the event form. If you change the event type, you will no longer see any custom event fields associated with that event type.

  3. Changing the event type will also impact the forms, workflows, and contracts associated with the event.

How to Do It

  1. Clicking “Edit Event Type” will open the below modal.

  2. Select the applicable Event Type from the dropdown.

  3. Click “Save”.

 

  • If you don’t see “Edit Event Type” as one of the actions available to you for a request, that means permissions for your role don’t allow editing event types. 

  • Permissions are set at Events > Settings > Roles > (Select Role) > Events > Edit Event Type by an admin at your institution.

  • This permission allows a user to edit the Event Type of an existing event. This is different from the permission under the permission group “Settings” called “Edit Event Types”, which allows a user to edit all the Event Type settings.

Editing Meetings & Locations

  • If editing the Meeting & Locations card, keep in mind that the card will automatically collapse recurrence patterns and will show just the first meeting by default.

  • Editing meeting times can cause setup and teardown times to become disassociated from meetings. Learn how to prevent and fix that issue.

Editing All Meetings Together

In the collapsed view you can edit all meetings in the recurrence pattern together (as indicated by the yellow banner at the top of the card).

Editing Meetings Individually

  • Click  “Show All Meetings in Recurrence Pattern” to view all meetings individually.

  • When editing individual meetings, you can switch between editing a “single” meeting, and editing “this and following meetings”.

Editing Pending Events

  • Editing, canceling, and deleting events can only be performed on events that are confirmed.

  • If an event is pending, edits can only be made to the event request.
