Overview
In Event Scheduling, Rooms and Resources can be “held” to prevent double bookings.
This means that two requests for the same space at the same time (or two requests that both require all twelve available round tables, for example) will not be in the request queue simultaneously, as this “hold” will prevent double bookings from being created by users who do not have “Can Add Events With Conflicts” permissions set to “Allow.”
How It Works
Any Room or Resource that is part of an event request will be held until the request is approved or rejected.
The Room will not be shown as an available room when users are requesting new events.
The total available number of a Resource will be decreased to reflect the hold placed on that Resource.
Anywhere that a user can view an Event List or Calendar view, a “Pending” Event will now appear until the request is approved or rejected.
“Pending” Status
Overview
A “Pending” Event will hold the room and resources associated with that event until the request is approved or rejected.
If the event is approved, the “Pending” label will be dropped and the Event will be confirmed.
If the event is rejected, the room and resources will be released so that they can be booked in another request.
Additional Notes
If a request is already approved, and a change request is submitted for that event, the event will stay as “Confirmed” and not be returned to pending.
If an approved event is stuck in “pending”, check out this solution.
Searching for Pending Events
You can apply the “Status” filter to search for “Pending” events in both the list and calendar views.
