How can I prevent events from starting too close to section end times?
Overview
If an event’s end time is too close to the start time for a section scheduled in the same room – or vice versa – that can be problematic.
A workaround to potentially prevent both scenarios would be to add setup and teardown times to rooms; those times would be factored into the overall booking, thereby preventing a room from being able to be selected for an event where times might overlap.
How To Do It
Add a default setup and/or teardown time to the room. Learn how here.
Mark on the Event Type to auto-add the setup and/or teardown times. This will create a conflict with the course and will prevent the room from being selected.
How can I mark an event as "all day"?
Overview
If you’d like to block off space/resources for an entire day even though the event doesn’t last the entire day, there’s an easy way to do that.
Example Use Case
You have a big event like a graduation that technically only lasts from 9am-12pm but where the space is needed for the entire day.
Solutions
Option 1
if there aren't limitations on start time/end time for the room or event type – and you don’t need to specify actual event times – you can select 12 AM and 12 AM the next day as start/end times.
Option 2
If you need to publish actual event times (as with the graduation example noted above), you still use the actual event start and end dates but then also add very long setup and teardown times.
Can students register for events using the public-facing Events website?
Although students cannot register for events directly through the public website, an admin can make sure the hyperlinks field is on the form so that whoever creates the event can provide a link to direct potential attendees to a registration page. Learn more here.
Recurring Event isn’t Actually Recurring
Problem Overview
You want an event to recur, but it isn’t.
Explanation
The end date of a repeating event needs to match the start date.
You’ll have the opportunity to define when an event stops recurring in the “Repeat” field.
In the below example, the “End Date” needs to be changed to “May 22, 2024”; the “repeat” field is set up properly.
Solution
Update the end date to match the start date.
Ensure the last date for the event is captured in the “repeat” field.
Conflict Message Indicates a Meeting Does Not Have an Associated Setup or Teardown Time
Problem Overview
You’re seeing a conflict message for an event that says “Does not have an associated setup meeting” and/or “does not have an associated teardown meeting” even though the meeting/event was set up to include them.
Explanation
This can happen if you change a meeting’s date and/or time – the setup and teardown time can become disconnected from the meeting.
Solution
If setup and/or teardown times become disconnected from a meeting after editing the event, you can do one of the following:
If you have setup and teardown times automatically added, delete and re-add the setup and teardown time to the parent meeting.
Reset the request.
Recreate the request.

Users should finalize the date, time, and event structure before adding setup and/or teardown times to ensure alignment between the meeting and any supplementary events.
Add setup and teardown times as the final step (after confirming all other event details).
Avoid conflicting settings:
Ensure that room settings do not have mandatory teardown/setup times if auto-adding automatic setup/teardown times is enabled.
These two features can interfere with each other, causing more disconnections or unexpected behaviors.
