Some schools want to leverage workflows to notify certain people if a condition of an event is satisfied. For example, perhaps the event’s associated form has a question asking if food will be served at the event, and if the answer is YES, the school might like to simply notify a person without actually seeking their approval, and thus just passing the request along in the workflow after the appropriate notification is sent out.
The best way to do this is to make use of two workflow steps:
- Step 1: Configure a filter/check step, that assesses whether the desired condition is true, and passes the request onto step 2. See the Vending Check Step in the example below.
- Ensure that there are no participants on the step, and that there’s a logic jump based on the desired filter/condition.
- Step 2) Configure a notification step, that notifies the appropriate person if it is true, and otherwise just sends the request along in the workflow. See the Vending Notification in the example below.
- Add all Users who you’d like to be notified as participants, set their permissions to “can comment” and “can comment” only. This is especially important that you don’t use “can vote”), and set votes required for approval/rejection to 0 (note that this will default them back to “Not Set”).
