Catalog Cycle Process

Coursedog's Catalog application offers the ability to support multiple catalogs at the same time, allowing your institution to have: 

  1. Your current-year's catalog available publicly on your vanity URL (catalog.<institution>.edu),

  2. Last-year's catalog on an archived URL (archive-catalog-<institution>,

  3. And next year's catalog available on a preview-url (preview-<institution>

All of these locations are independent of one another, are accessible via web, and editable via the Coursedog platform. 

The "Catalog Scope" feature allows you to work on the "Default" catalog's pages and navigations in the platform, while the catalog attached to the public-facing URL per the "URLs" tab will remain unaffected: 

When you're prepared to begin working on the upcoming year's catalog, be sure to: 

1. Under "Settings" > "Catalogs" make a clone of your current catalog & rename it

2. Under "Navigations" make a clone of your current navigation bars - top and sidebar (one each) and rename them.

Click into your newly created navigation bars (one at a time). Assign them to the new catalog using the "Catalog Scope" dropdown: 

3. Return to the "Catalogs" tab under "Catalog Settings" and assign the renamed Sidebar and Topbar to the new catalog (you can ignore the other fields): 

4. Set the new cloned Catalog as your default, and assign it to the preview-URL provided to you:

When ready, to archive your previous year's catalog, simply reach out to a Coursedog Representative to be provided a Coursedog-hosted archive URL following the format mentioned above (archive-catalog-<institution>  

Once provided, attach the archived catalog to the appropriate URL (Under "Settings" > "URL"s tab), and the catalog is now archived. 

5. When defining a catalog, a user can utilize effective dating to pull in the correctly dated curriculum data.

  • User first selects effective dating (dates/terms) - user to be consistent with dating used in the curriculum environment
  • User then selects start date and end date of the curriculum data they wish to pull into the catalog
