Granting Users Permission to View Private Events

Overview

Private events enable users to host events without having their event details accessible to users lacking permission, or having the event advertised on the public-facing event website.

Requesting a Private Event

Any User Making an Event Request

  • To request a private event, follow the event request steps detailed here.
  • Be certain to check the “Private Event” field when completing the “Request New Event” form.
  • Private events will follow the same approval workflow as other events of the same Event Type. For more information on Event Types, look here.

Viewing Private Events

Overview | “View Private Event Details” = Deny | “View Private Event Details” = Allow

Overview

  • Once approved, private events will be subject to two separate views depending on the user’s role permission settings.

  • To learn how to update role permissions, see “Granting Users Permission to View Private Events” below.

“View Private Event Details” = Deny

Overview

  • If “View Private Event Details” is set to “Deny” for a user, all fields with the exception of Meeting and Location Data – and whether or not this is a Private Event – are redacted.

  • Meeting time and location are shown because that info has to be available for room and resource calendars (to prevent those rooms and resources from being double-booked).

  • It is clear to the user that they are viewing a private event given that the “Private Event” field is set to “Yes” and the “Event Name” will be redacted and replaced with “Private Event”.

If the user’s role permission settings do not allow them to view private event details, the event will appear as follows:

“View Private Event Details” = Allow

Overview

  • If “View Private Event Details” is set to “Allow” for a user, event detail fields are no longer redacted.

  • It is still clear to the user that they are viewing a private event given that the “Private Event” field is set to “Yes”.

If the User’s role permission settings allow them to view private event details, they will see all event details, as shown here:
