NOTIFICATIONS: How do Event Notifications work?

Overview

Automatic event notifications are sent to direct event contacts, organization contacts, resource contacts, and room contacts, following any of the below occurrences:

  1. An event is added directly by an administrator.

  2. A new event request is approved.

  3. An event is edited, and the user making the edits responds "yes" to the question "Would you like to send update emails to existing event contacts?" 


Who Receives Emails

  • Event contacts will be sent an email if they are added as a contact to the event and they have "Send Email Notifications" set to "Yes." Note that this will happen even if the global “Email Notification Setting” configured by Coursedog is set to “No”. Learn more in our Admin Dashboard Overview article

  • Event contacts (but not event authors) will be notified when an event is cancelled.

Email Content

Overview

Event contacts will receive the following email:

Attachment

The attachment is an "Event Summary" PDF. It can also be downloaded under “Actions” in the relevant Event’s page in Coursedog. It contains the following information:

  1. Event Name

  2. Event ID

  3. Event Org

  4. Event Type

  5. Event Image

  6. Event Description

  7. Start/End Date

  8. Start/End Time

  9. Location

  10. Contacts

Organization Contacts

  • Organization contacts will receive the same email as event contacts if that organization is associated with the event and they have "Send Email Notifications" set to "Yes.

Resource & Room Contacts

Overview

  • Resource & room contacts will be sent an email if the resource and/or room has been assigned to the event, and they have "Send Email Notifications" set to "Yes."

The attachment is an "Event Facility and Resource Use Report" PDF that can also be downloaded under “Actions” in the relevant Event’s page in Coursedog. It contains the following information:

  1. Event Name

  2. Event ID

  3. Event Type

  4. Event Org

  5. Event Contacts

  6. Start/End Date

  7. Start/End Time

  8. Location

  9. Set up times

  10. Tear down times

  11. Resources

  12. Resource quantities

  13. Resource set up notes
